Make changes in the editable project
Keep the project JSON as your working copy. It stores the guest list, table names and capacities, schematic positions, pair rules, assignments and locks. Importing it restores the project rather than reconstructing a plan from a screenshot. The workspace does not save automatically, so download a new copy after important revisions.
In the guest CSV editor, retain existing IDs when changing names or meal choices. Give each new attendee a new ID. If someone is removed, update any rules that mention that ID before applying the list. The editor validates the new data before replacing the project, and removed attendees no longer retain an assignment.
Move a complete group deliberately
Changing the table selector for one guest moves their entire together group. The move checks the destination capacity and any apart relationships before it changes the plan. If a table is already full, first move or unassign another group. This explicit sequence helps avoid a temporary overfilled table being mistaken for a finished arrangement.
A lock protects the group’s table during generation and manual movement. Unlock it before making a deliberate change. Clearing unlocked assignments preserves any group that contains a locked member. If you remove a table, its guests become unassigned and their affected locks are removed; the undo control can restore the previous state.
Recheck the plan after editing tables
Changing a table name or moving its schematic symbol updates the documents generated from the project. Reducing capacity below the existing headcount creates a visible issue. The planner does not silently discard guests to make the numbers look correct. Resolve those issues or use a clearly marked draft when sharing an unfinished version.
Before the final handoff, verify the assigned total against the attendee count, scan the issue list and confirm table names match the venue’s terminology. Generate the venue and catering files again after your final edits. A file downloaded before a change is a snapshot; it does not update itself when the workspace changes later.
