Choose the document for its audience
The printable venue brief combines the schematic diagram with a roster for every table. It deliberately leaves meal preferences and guest notes out of that document. The venue CSV provides a row for each guest, their group, their table and their lock state. Use the version that best fits the coordinator’s existing process.
Catering has a different information need. The guest catering CSV includes the meal preference and note exactly as entered, while the summary groups counts by table and meal label. Blank meal choices remain distinguishable as unspecified. Confirm unusual dietary requests directly with the relevant people; a seating export does not establish that a meal or preparation method is suitable.
Print a real brief and inspect the result
The HTML brief is a standalone document with print styling and no remote resources. Open the downloaded file in a browser and use its Print command. If that browser offers a PDF destination, you can save a PDF there. Paper size, margins and pagination remain browser settings, so inspect the print preview before distributing it.
The separate SVG keeps the table diagram as vector shapes and text. Table positions are schematic percentages, not measurements of a room. Long table names may be shortened on the symbol while the full name remains in the roster. Neither file checks walking space, table dimensions or permitted occupancy; confirm those with the venue.
Mark drafts and keep an editable backup
Final handoff exports require everyone to be assigned and the entered seating rules to pass. If you choose draft exports instead, filenames and documents carry a DRAFT label and unresolved guests remain visible. This lets another organiser review work in progress without confusing it with the checked version.
CSV fields that could be interpreted as spreadsheet formulas receive a protective prefix. The editable JSON keeps the original text, so use that file when exact labels or notes matter. Store and share guest information thoughtfully, particularly the catering notes. Download a fresh JSON backup alongside the final handoff so a later correction can be made from the same source.
